Prerequisite
Your VConsole license MUST include the "Document Management" option in order to use the features listed below.

Introduction
VConsole has the ability to allow users to manage record attachments (AKA record documents). Each record in a Data Manager type module can have 1 or more documents attached to it. This acts like a digital filing cabinet for each record in VConsole. Any type of document can be attached to any record. These documents act a lot like email attachments. The user can attach, delete, and modify documents that are attached to a record. Plus, each document can be attached to more than 1 record. The document engine also comes with the ability to revise documents and keep a revision history for each document. Plus, if the document is a PDF document, it can be digitally signed and verified. And if the VConsole license also includes the "Forms" option, then generated forms are automatically attached to the appropriate records. Here is a full list of features for the Document Management option of VConsole.

  • Any type of document can be uploaded and attached to any Data Manager managed record.
  • Each Data Manager managed record can have multiple documents attached to it.
  • Each document can be attached to multiple records.
  • Users can manage attachments from multiple records at once.
  • Document revision history allows users to keep a history of changes to a file.
  • Users can revert to any previous version of any file.
  • Image and PDF thumbnails are auto created that allow users quickly see the contents of a file at a glance.
  • PDF files can be digitally signed at up to 200dpi. Once a document is signed it cannot be modified without invalidating the signature.
  • VSource's digital signature verification service allows quick verification of digitally signed PDF files.
  • Users can assign ownership of attachments to any VConsole user.
  • Built in Document permissions can control who can do what and can be based on file ownership.
  • If the "Forms" option is allowed by the license, generated forms are automatically stored as attachments to the appropriate data records.

Attaching A Document To A Data Record
The user can attach 1 or more documents to 1 or more data records with a single operation. To do this, all the user needs to do is right click on 1 (or more) records and select "Attach Documents". After that, the user will have the opportunity to upload 1 or more documents to be attached. Once the user selects their documents and clicks on "Finish" their document upload starts and they are given a progress bar to track the upload progress. Once the upload is finished, the user gets a confirmation message and the documents are then attached to the selected record(s).

Revising A Document
To revise a document that is already attached, the user must simply right click on the document and select "Revise Document" from the drop down list. Now, all that needs to be done is to upload the new document. Users must have the "Revise Documents" permission in order to revise documents. Users can also be allowed to only revise documents that they have uploaded or they can be allowed to revise all documents. In order for them to be able to revise any document, they also need the permission to list any document as well.

Reverting To A Previous Version Of A Document
To revert to a previous version of a document, the user must right click on the document and select "Revert Document" from the drop down list. A list of previous (or future) versions of a document are shown to the user. The user can even hover over the icons (if available) for each document revision to view a thumbnail of the document. Once the user selects the correct version of the document to revert to, they only need to click on the "Finish" button to complete the operation.

Attaching A Document To Multiple Records
To attach a document to multiple data records, the user must right click on the document and select "Attach to Records" from the drop down list. Now, the user must add all the records that the document should be attached to and click on "Finish". Warning, if a document is attached to multiple records, then modifying the document for 1 record also modifies the document for all other records that have the document attached.

Digitally Signing PDF Documents
To digitally sign a PDF document, the user must right click on the document and select "Sign Document" from the drop down list. The user is then presented with an interface that allows them to use the mouse (or preferably, a pen mouse) to sign the document. The ink color and document resolution can be changed and the user can sign any page in the document. Once all the required pages have been signed, the user should click on "Finish" to finish the signing process. The signatures are then embedded in the PDF file and a digital signature is created.

Verifying a PDF Digital Signature
When a PDF document is digitally signed using the VConsole interface, a digital signature is created and stored in the database. After a document has been signed, the document cannot be modified without invalidating the digital signature. The digital signature contains all sorts of information about the document and is encrypted using the VConsole public key. It can only be decrypted by the VConsole private key which is solely maintained by VSource. In order for a user to validate a digital signature, they must right click on the document and select "Digital Signature Verification Service" from the drop down menu. The encrypted digital signature is then sent to VSource along with the actual document information. Once that information gets to the VSource digital verification service server, the digital signature is decrypted and compared to the actual document information. If the 2 match, then the digital signature is considered valid. This service is free for all those who have purchased the "Document Management" option of VConsole. Although this service makes sure that the document has not been modified, it still may not hold up in a court of law. For documents that are to be submitted to a court of law, a more thorough verification can be done. The document, the signature file, and the digital signature must all be sent to VSource for verification.
